Programme Coordinator

Supports the operational execution of training and consulting engagements. Manages scheduling, stakeholder communication, documentation flow, and coordination between instructors, partners, and institutional clients.

About the Role

The Programme Coordinator plays a vital role in ensuring the smooth operational execution of CBRN Academy’s training and consulting engagements. Acting as the organisational backbone of programme delivery, you will manage scheduling, stakeholder communication, documentation flows, and coordination between instructors, subject-matter experts, partners, and institutional clients. This role requires precision, reliability, and the ability to work effectively across multiple simultaneous engagements in a professional, high-accountability environment.

Key Responsibilities

  • Manage the scheduling and logistical coordination of training programmes and consulting assignments across domestic and international locations.
  • Serve as the primary point of contact for stakeholder communication, ensuring timely and accurate updates to clients, instructors, and internal teams.
  • Maintain documentation systems including programme records, attendance registers, evaluation forms, and compliance files.
  • Coordinate between instructors, partners, and institutional clients to resolve scheduling conflicts, resource requirements, and delivery adjustments.
  • Support the onboarding and briefing of new instructors and external contributors ahead of programme delivery.
  • Track programme milestones, deliverable deadlines, and reporting requirements, escalating issues as needed.
  • Contribute to process improvement initiatives aimed at increasing coordination efficiency and stakeholder satisfaction.

Required Qualifications & Experience

  • Proven experience in programme coordination, project administration, or operational support within a professional or institutional setting.
  • Exceptional organisational skills and the ability to manage multiple concurrent workstreams without loss of attention to detail.
  • Strong written and verbal communication skills in English; proficiency in additional languages is highly valued.
  • Familiarity with project management tools, scheduling platforms, and documentation management systems.
  • Experience working with government, defence, healthcare, or international development organisations is an advantage.
  • A professional, composed communication style appropriate to a high-accountability institutional environment.
